The Maryland State Department of Education is dedicated to supporting a world-class educational system that prepares all students for college and career success in the 21st century. With excellent stewardship from our divisions, we oversee State and federal programs that support the needs of a diverse population – students, teachers, principals, and other educators throughout Maryland. As part of the Maryland State Department of Education, the Division of Rehabilitation Services (DORS) provides services to assist students with disabilities prepare for the work world, vocational rehabilitation services to assist adults with significant disabilities who are seeking to enter or reenter the workforce, and the adjudication of Social Security disability claims for the citizens of Maryland.

POSITION DUTIES

The main purpose of this position is to prepare agency correspondence for mailing. Process outgoing mail for shipment. Process incoming mail for distribution throughout the agency.

Position Duties Include:

  • Utilize Pitney-Bowes Relay 8000 Inserting/Folding System to prepareagency-generated correspondence for mailing to medical and non-medical sources as well as Social Security Administration (SSA) disability claimants.
  • Retrieve generated letters from mailroom printers, jogdocuments and place into machine for folding and inserting.
  • Postcompleted letters Shipping 360 Postage Machine.
  • Receive incoming mail twice daily from agency mail courier and SSAshipping contractor.
  • Open received correspondence with Pitney -BowesOpex 360 Letter Opener.
  • Uilizing sofiware from DDS-contracted shipper, generate labels andschedule pick-up of 'SSA paper disability folders. Research proper destinations and box folders and place at designated location for pick-up,proving weight of each for proper shipping charge placed on eachshipment.
  • Utilize agency automation and keep up to date on equipment and SSAsystem upgrades.

MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Six months of experience performing administrative staff, clerical, clerical technical, or secretarial work.

Notes:

1. Candidates may substitute 30 credit hours from an accredited college or university for the required experience.

2. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer involving staff work requiring regular use of independent judgment and analysis in applying and interpreting rules and regulations in accordance with agency laws and policies on a year-for-year basis for the required experience.

DESIRED OR PREFERRED QUALIFICATIONS

Preference will be given to applicantswho possess the following preferred qualification(s).Include clear and specific information on your application regardingyour qualifications.

  • Experience preparing correspondence using Microsoft Word.
  • Experience with paying invoices and bills.
  • Experience creating and maintaining spreadsheets.
  • Experience communicating with vendors and utility providers.
